Pecan Tree Inn Policies

Check-In and Check-Out

Check-in is available between 3:00 PM and 5:30 PM.

If you plan to arrive after 6:00 PM, please call us at 252-728-6733 so we can coordinate your arrival and provide after-hours check-in instructions.

If you arrive before check-in time, you are welcome to park in our guest parking lot and enjoy Historic Beaufort while we prepare your room. Unfortunately, we are unable to accommodate early check-ins.

Check-out time is 11:00 AM.

Reservations

We encourage guests to book directly through our website at www.pecantree.com to receive the best available rates and avoid third-party booking fees.

A valid credit card is required to secure all reservations.

The credit card on file will be charged for the full reservation balance seven (7) days prior to arrival.

Gift Certificate Reservations

Gift certificate reservations require a valid gift certificate number and a credit card on file. Gift certificates must be presented upon arrival.

Group Reservations

Reservations involving three (3) or more rooms, whether booked together or separately by related traveling parties, are considered group reservations. Group reservations may require payment at the time of booking and are subject to a thirty (30) day cancellation policy unless otherwise specified in writing.

Cancellation & Refund Policy

Because Pecan Tree Inn is a small boutique bed and breakfast, cancellations have a significant impact on our business. For this reason, we strongly encourage all guests to purchase travel insurance to protect against unexpected events, including illness, family emergencies, weather-related travel disruptions, flight cancellations, and other unforeseen circumstances. Travel insurance is available through a third-party provider during the reservation process.

Individual Reservations

Reservations canceled more than fourteen (14) days prior to arrival will receive a refund less a 10% credit card and administrative processing fee.

Reservations canceled within fourteen (14) days of arrival are non-refundable.

If we are able to rebook the room for the canceled dates, we may, at our sole discretion, issue a refund less a 10% credit card and administrative processing fee.

Guests who shorten their stay, arrive late, depart early, or fail to arrive for their reservation (no-show) are responsible for the full reservation amount and are not eligible for a refund.

Travel Insurance

We strongly recommend purchasing travel insurance at the time of booking. Travel insurance may provide reimbursement for covered circumstances that prevent travel, including illness, injury, severe weather, transportation interruptions, family emergencies, and other unforeseen events.

Hurricane and Severe Weather Policy

Refunds will only be issued if Carteret County is under a mandatory evacuation order that directly affects Beaufort during your scheduled stay.

If a mandatory evacuation order is not issued, standard cancellation policies remain in effect.

No refunds will be issued for inclement weather, rain, tropical storms, hurricanes outside the evacuation zone, transportation interruptions, road closures, personal travel concerns, or changes in travel plans.

Guests may seek reimbursement through their travel insurance provider for covered losses.

Minimum Stay Requirements

A two-night minimum stay is required from May through November on most rooms.

Rates and Occupancy

Rates are based on double occupancy.

Single travelers may qualify for a discount when requested at the time of booking.

Breakfast is included and features a chef-prepared entrée, breakfast meats, potatoes, fresh fruit, baked goods, yogurt, coffee, tea, and juice.

Children

We welcome families with children ages 12 and older.

If traveling with children, please contact us prior to booking so we can discuss accommodations and ensure we can provide the best experience possible.

Pet Policy

We apologize, but Pecan Tree Inn is not pet friendly.

Smoking Policy

Pecan Tree Inn is a completely non-smoking property.

Smoking, vaping, and the use of any tobacco or nicotine products are prohibited anywhere on the property, including guest rooms, porches, gardens, patios, and parking areas.

A $250 cleaning fee will be charged if evidence of smoking anything or vaping anything is found in a guest room or elsewhere on the property.

Open flames, including candles, are not permitted in guest rooms due to the historic nature of the property.

Accessibility

Due to the historic nature of the property, Pecan Tree Inn is not ADA accessible.

Please contact us directly if you have questions regarding accessibility so we can help determine whether our accommodations will meet your needs.

Parking

Complimentary off-street parking is provided for one vehicle per guest room.

Guest Responsibility and Liability

Guests are responsible for any damage, loss, or excessive cleaning resulting from their actions, negligence, or misuse of Inn property.

By making a reservation, guests agree to indemnify and hold harmless Pecan Tree Inn, its owners, employees, and representatives from liability for personal injury or property damage except where caused by gross negligence or willful misconduct.

Please report any accidents, injuries, maintenance concerns, or property damage immediately to Inn staff.

Environmental Commitment

Pecan Tree Inn is proud to be a North Carolina GreenTravel Certified property.

Guests can help us reduce our environmental impact by:

• Turning off lights when not in use

• Conserving water

• Reusing towels when possible

• Using designated makeup-removal cloths

• Recycling using the bins provided

We use environmentally responsible cleaning products and strive to minimize our environmental footprint while maintaining exceptional guest comfort.
